Simple Year End for CalcPay
Instructions for End Of Year.It is best to have the latest version of CalcPay 08.002.1120
'Utilities/Check Data': resolve any problems highlighted.
'Reports/P11 Form': Check that all the employees have been processed to date, ie every one at week 52, or month 12, except leavers.
(If you did a payrun dated 04 or 05/04/07 then you will have week 53/54/56)
'Company/Company Details': Check that 'Tax/Paye Ref. have been entered.
If you are sending the return online then also complete User ID & Password.
Are you a small employer? <45,000NIC pd then tick Small employer box.
'Reports/P32': Review the amount of PAY you should have paid.
'Government/Paye paid': Record what you actually paid.
Enter the Tax-Free Incentive if relevant (250 ) nb if you received a cheque for this, do not enter it.
Sending the return Online
'Gateway/EOY P35': It shows you who is getting sent on the form.
Note if you have any Non P14's, you will have to send a 'EOY P38A' for them and you will have to answer to that effect on the P35 Declaration.
You cannot include non P14's.
If you wish you can Send Company Contact details.
Do 'Check Payroll Data'.
Do P35 Declarations. Answer all the questions, Do you have any P11D's that need to be sent later.
Do P35 Section 2. Remember the 'Tax/NICs paid already' has been filled in earlier.
'Click to make it a test run' if you so wish.
Click 'Send to In Rev.'
You are taken to a 'Government Gateway' form.
Click 'Submit': This now sends the return.
You will now see the 'Events' The first line means it has been sent.
CalcPay will keep asking the Government Gateway if it has processed the form, that is what the 'poll, submit, acknowledgement, submit' means.
Eventually You will get a response, hopefully in the form:
Response: "9004" The EOY Return has been processed and passed full validation
If its a test it will also say:
Response: "9001" This submission would have been successfully processed if sent under non test conditions
The file that was sent & the response is automatically saved.
You will also be sent a email that states
"Thank you for sending the PAYE End of Year submission online.
The submission for reference NNN/AANNNNN was successfully received on 12-03-2007 and is being processed."
where NNN/AANNNNN is your ref no's
Please note that you get this email for BOTH a SUCCESSFUL and a TEST SUCCESSFUL submission.
The emails are identical.
You can see the online transactions in the 'Gateway/History'
You should printout the P11 cards 'Reports/P11Report/A4 P11 Both Nic & Tax'
Issue P60 to all your current employees 'Reports/YearEnd/P14_60/A4 p14/60 Portrait'
Please use Ind Rev. form P60(lasersheet 3-Portrait)(2007-07)
Do a BACKUP.
